Roles and Responsibilities
- Responsible for calendar management including all meetings, coordinating visits with internal/external contacts, coordinating events, booking appointments and making travel arrangements
- Organize and coordinate logistics of conference/video calls
- Monitor incoming email boxes and manage inquiries as appropriate
- Be able to work well with a variety of levels within an organization and possess diplomacy, enthusiasm and perseverance
- Meticulous attention to detail and exceptional organizational skills
- Manage and organize confidential files to allow for quick retrieval
- Attend and take minutes during meetings
- Record, prepare and distribute Minutes from meetings as required, tracking action/completed items.
- Prepare and print all materials in advance of meetings, presentations, events, etc
- Ensure documents for signature are processed in a timely manner
- Compile business research as requested.
Qualification
- Bachelor Degree in Business Administrative and Office Management
- 5 years or more of previous experience in an responsible administrative position
- Experience working at a senior level is preferred
- Demonstrate advanced level of competency in MS Office Skills (Excel, Word, Powerpoint)
- Ability to research, prepare briefing notes, draft letters, presentations and reports
- Excellent interpersonal, organizational and problem solving and conflict resolution skills
- Ability to work within a highly energetic and fast paced team environment
- Ability to work independently and under pressure with deadlines
- Ability to plan and coordinate special events
- Confidentiality, conflict management skills, troubleshooting in a fast-paced and multi-disciplinary work
