We are currently seeking an Administrative Assistant to join our team. The Administrative Assistant will have an energetic, organized, self-driven approach to this role which includes acting as the site’s primary point of contact for all visitors and supports the senior management team with various administrative tasks.
Required Skills:
-Previous experience working in a manufacturing office environment is considered an asset
-Strong verbal and written communication
-Ability to work independently and take initiative
-Ability to multitask effectively and meet deadlines
-Strong problem solving skills and attention to detail
-Proficiency in all Microsoft Office applications
-Outgoing with a professional and friendly personality
Job Duties
-Manage administrative job tasks for multiple projects
-Process shipping packing slips, commercial invoices and labels
-Greet all incoming clients as the first point of contact and present product introduction to them.
-Answer incoming calls and make outgoing calls.
-Create memos, account information and build sales invoice
-Manage sales channels, shopping carts, payment gateways and mail carriers
-Sending price quote email, sales invoice and arranging shipment for wholesale clients.
-Create sales orders and arrange pick up service for retail clients.
-Build effective communication with warehouse for items preparation and pick up.
-Responsible for maintaining and overseeing inventory and supplies by receiving, storing and delivering items.
-Work with the management team to stay updated on product knowledge and be informed of any changes in company regulations.
-Review, track, update shipment information and provide tracking result based on client’s request.
-Handle complaints, create tickets, provide appropriate solutions and alternatives within the time limits.
-Create detailed weekly, monthly sales analysis report and determine the best course of action.
-Handle return, exchange and warranty requests
