                        Office assistant (Salary: $30,000-50,000 based on experience etc.)

Description
The Administrative Assistant is accountable for providing administrative and professional support
for the Manager/supervisor within an international trading company group. They are to represent
these individuals in a professional manner. They will monitor and ensure that all established
administrative activities, operational processes, and control standards are followed while
contributing to the effective and efficient operation of the business groups. They will provide timely
and accurate administrative and clerical support while using strong computer and strong
organizational related activities. They will aid in day-to-day operations of the team and provide
organization and clarity for the team involved.

General Office Administration Responsibilities:
Assist in the daily administrative operations, including customer service, calls, logistic
coordination.
Assist with customer project tracking and fulfillment
Assist in bookkeeping, maintaining an organized filing system, invoicing, suppliers ordering etc.
Assists with coordinating agendas and arranging any resources needed for smooth and efficient
meeting facilitation
Manages various projects such as business process improvement initiatives, event planning, and
office relocations. May act as project leader for, or participate in small to medium sized initiatives as
appropriate and makes recommendations to achieve business goals effectively and efficiently
Prepares and dispatches outgoing mail and manages courier requests as required
Receives incoming telephone calls and emails and responds to routine and moderately complete
inquiries & requests
Logs expense reports and develops and maintains efficient diary, filing and e-filing systems to
ensure business and operational materials are readily available
Other duties as assigned by the manager/supervisor

Requirements:
Must have a minimum 1-2 years experience in an administrative/professional support function in a
fast-paced environment, dealing with moderate to very complex issues and managing conflicting
priorities
Post-secondary education in a related field and/or other professional related training and
development to keep skills current, including office productivity software
Solid knowledge of business standards and key business processes
A good working knowledge and understanding of the organizational unit, its functions, its
products, goals and customer groups
Speaking Mandarin is an asset
